Law firm KPIs help a managing partner see where work is delayed, where billing loses value, and where cash is tied up. Start with definitions everyone uses consistently. Two reports can show different realization rates simply because they divide different amounts.
For a Philippine firm using a mix of retainers, fixed fees, and hourly matters, one firm-wide average can be misleading. Segment the work before drawing conclusions, and use the figures to investigate a process rather than to rank people without context.
Define five useful measures
Specify the denominator, period, exclusions, and tax treatment in the report. “Available hours” might exclude approved leave, but the firm must document its choice. Client expense advances should not quietly inflate a professional-fee collection measure.
| KPI | Definition used in this guide | Question it helps answer |
|---|---|---|
| Utilization | Billable hours recorded ÷ defined available hours | How much capacity is allocated to billable work? |
| Billing realization | Fees billed ÷ standard value of recorded billable time | Where does recorded value become a write-down? |
| Collection rate | Fees collected for an invoice cohort ÷ fees billed in that cohort | How much billed value turns into cash? |
| Unbilled work age | Days since work was recorded but not billed | What is waiting for invoice approval? |
| Receivables age | Outstanding invoices grouped by age or due date | Which balances need attention? |
Use a worked example to validate the report
Assume an associate has 160 defined available hours and records 96 billable hours. Utilization is 60%. If that work has a standard value of ₱192,000 and the firm bills ₱172,800, billing realization is 90%.
If the firm ultimately collects ₱155,520 against that same ₱172,800 invoice cohort, collection is 90%. The amounts are illustrative and exclude VAT, expenses, and other adjustments. Comparing this month’s cash to this month’s invoices without linking the cohort can produce a very different and less useful figure.
Interpret fixed fees and retainers carefully
For fixed-fee work, track time to understand effort and capacity even if time does not determine the invoice. Compare matters with similar scope and stage. A complex trial and a short document review should not be judged by one raw hours target.
For retainers, inspect what is included, how much service was delivered, and whether out-of-scope work was captured properly. A high billing figure can conceal unsustainable effort if the scope is unclear.
Build internal baselines before adopting benchmarks
This guide does not present unverified Philippine industry benchmarks. Begin with several comparable periods from the firm’s own records, explain major changes, and set a practical improvement target.
For example, if invoices routinely wait two weeks for approval, shorten that handover before demanding more billable hours. If collections lag only for one client group, examine agreed terms, invoice queries, and certificate requirements rather than applying a blanket reminder campaign.
Run a monthly partner review
Keep client-confidential details out of broad management dashboards. A partner may need a matter-level explanation; every employee does not need access to the underlying file.
- •Confirm data completeness and any definition changes.
- •Compare similar practice areas and fee arrangements.
- •Select a small number of material exceptions.
- •Identify the workflow causing each exception.
- •Assign an action, owner, and review date.
- •Check whether the previous action changed the result.

Frequently asked questions
What is the difference between realization and collection?
In this guide, billing realization compares billed fees with standard recorded-time value. Collection compares cash received with billed fees for the same invoice cohort. Define the terms explicitly in your reports.
What utilization rate should a Philippine firm target?
Set a target using the firm’s fee models, roles, workload, and reliable internal baseline. This article does not claim a verified national benchmark.
